Built-in Reports Just Got Better!

This article answers some common questions about the Salsa CRM built-in report updates released in April 2021.
Saved Criteria
Can I save report criteria for all Built-in Reports now?
Yes! Previously, only the Donor Detail, LYBUNT, and SYBUNT reports supported saving criteria used to generate a report. With this release, all formatted Built-in Reports will allow you to save custom criteria, with the exception of the Pledge Status Report (which is emailed).
Will my existing saved criteria for the Donor Detail Report, LYBUNT, and SYBUNT reports still be available after this update?
Yes, your existing saved criteria will still be available. However, to ensure compatibility with the new release, any previously saved criteria that was created in the Donor Detail Report will only be available in the Donor Detail Report. Saved criteria originally created in the LYBUNT or SYBUNT reports will be copied and made available in both reports. Moving forward each report type will have its own saved criteria.
Can I view saved criteria created by other users?
Yes, any saved criteria created for a Built-in Report will be visible to other users that have access to that report.
Can I link directly to a saved criteria in a Built-in Report?
Yes! After selecting a saved criteria in a Built-in Report, Salsa will reload the page. The URL of the reloaded page can be copied or bookmarked. First, login to Salsa CRM, and then visit the copied link to go directly to the report with the saved criteria applied.
The new Built-in Report interface requires “To” and “From” dates when applying a Custom Date range. I previously saved report criteria without these required dates. How will this be handled in the upgrade?
Prior to this release, the Donor Detail, LYBUNT, and SYBUNT reports allowed users to save criteria without a fully specified date range. For example, you could specify a “From” date of 1/1/2020 without a “To” date of 12/31/2020. In this scenario, Salsa was adding in dates in place of the missing dates to generate the report.
To ensure compatibility with the new release and clarify the exact date range used, Salsa will fill in comparable dates when you load saved criteria in this state. You can view the timeframe filter when you load the saved criteria. You may not receive any results if the date range that’s added doesn’t include any donations. Moreover, if the dates are not matching your desired filter, you can easily update them in the interface. Run the report with the updated criteria once you’ve made any changes. After verifying your results, save your criteria updates and you can re-use them again and again. For reference, below is a list of how pre-existing saved criteria with missing dates will be handled.

Will the new Built-in Reports impact any saved queries in the Advanced Query Wizard?
No. The Built-in Reports updates are separate from the Advanced Query Wizard. The Advanced Query Wizard will continue to function as normal. Any queries you have created or saved in the Advanced Query Wizard will also still be available following this release.
Report Filters
Are any report filters being changed in the new Built-in Reports design?
The look and feel of many of the filters have been enhanced for easy selection. In addition, we’ve brought many of the pre-existing report filters to the surface, so it’s clear which filters are being applied. No data filter options have been removed. However, additional validation has been added to support more options when selecting a timeframe.
Are there new filter options?
Yes! To support common report timeframes, we’ve added additional relative date ranges. This includes quarterly as well as “previous” time frames such as yesterday, last week, last month, and last quarter.
Is “Fiscal Year” still a filter option?
Yes! Fiscal Year is still an option, where applicable.
Is there an option for an “All Time” timeframe?
There isn’t a built-in option for all time; however, you can easily set up a custom date range that starts with your first known donation and runs through a future date.
How can I tell which filters were used in the report?
When viewing the report inside of Salsa, the filters selected can be found in the left sidebar. Moreover, the enhanced report body will include a listing of the key filters used to generate the report. The filter listing will also be included in the report exports.
Will the exported file indicate if saved criteria were used in the report?
Yes! If the filters you used were a part of saved criteria, the name of the saved criteria will be included in the filename.
Report Actions and Export Formats
With these updates, are there any changes to actions I can take with reports beyond viewing the results?
Any additional action that was previously available for a report has been carried forward. For example, you can view the Donor Detail Report in the Advanced Query Wizard or get started on a Mail Merge. You’ll find available actions under the “Other Actions” menu after running your report.
What are the new export formats?
The updated Built-in Reports include a new option for PDF download. This replaces the HTML report format. We are also carrying forward the Excel (.xls) format, which allows you to open the formatted report in Excel for additional sorting, tabulation, and easy copy and paste.
Is there a non-formatted, CSV export option for each report?
A CSV option is not currently available. However, we are investigating adding this option in a future release. In the meantime, you can run your report and select the
Can I schedule these reports to be delivered automatically via email?
While this option is not currently available, we are actively working on it. Be on the lookout for scheduled built-in report features in an upcoming release.
Desktop Version of Salsa CRM
Are the new Built-in Reports updates available in the Desktop-version of Salsa CRM?
No. The upgraded Built-in Reports are only available in the browser version of Salsa CRM. If you haven’t seen the browser version, click here to learn more about logging in.
While the enhancements won’t be available in the Desktop version, will there be any changes to the Built-in Reports if I continue using it?
Yes. In order to ensure compatibility with the latest release, any report criteria saved in the browser version after the release will no longer be accessible in the Desktop version. In addition, if you edit and save any pre-existing saved criteria in the browser version, the edited criteria will no longer be accessible in the Desktop version.
