      Overview

      When to use it

      Advanced Reporting is a tool to pull various donations reports you can build on the fly.  It is an older tool, dating back to the pre-Salsa toolset, and not subject to ongoing development.

      However, Advanced Reporting does remain a functional tool for generating donation reports, and in some cases may be a quicker option for generating certain types of donation information.

      How to get there

      Navigate to the Donations package and then click the Donation Report link.

      Fields

      Select one or more (you must select at least one to have any content in the report) fields from the donation table you wish to include in the report.

      • Day - The calendar day of the month, also including the month and the year - such as 2006-01-01 for January 1, 2006.
      • Month - The calendar month, also including the year - such as 2006-01 for January 2006.
      • Year - The calendar year.
      • Sum - Gives a sum total of all donations (for instance, when the selection includes one donation of $10 and one donation of $25, the "sum" result is 35). Only select this field if reporting donation aggregate information, not a list of donations. If you select "Sum", you must select a "Group By" term, below.
      • Count - Gives a count of distinct instances of donations (for instance, when the selection includes one donation of $10 and one donation of $25, the "count" result is 2). Only select this field if reporting donation aggregate information, not a list of donations. If you select "Count", you must select a "Group By" term, below.
      • Tracking Code - Displays the Tracking_Code field from the donation database table.
      • Amount - Displays the amount of the donations.
      • Email - Displays the donor's e-mail address - as recorded in the donation table, not the supporter table. (These can occasionally differ.)
      • First Name - Displays the donor's first name - as recorded in the donation table, not the supporter table. (These can occasionally differ.)
      • Last Name - Displays the donor's last name - as recorded in the donation table, not the supporter table. (These can occasionally differ.)
      • Result - Redundant with the "Transaction Result" option further down. Not a useful selection.
      • Employer - Displays the donor’s employer - as recorded in the donation table, not the supporter table. (These can occasionally differ.)
      • Occupation - Displays the donor’s job or occupation - as recorded in the donation table, not the supporter table. (These can occasionally differ.) 
      • Result Code - Redundant with the “Transaction Type” or "Transaction Result" option further down. Not a useful selection. 
      • Transaction Type – Displays the final result of the donation: successful, testing and errored. It will not show pending transactions.

      Date Range

      Start Date:  Enter the first date of donations you wish to have considered for the report in yyyy-mm-dd format, e.g., 2014-01-01 for all donations starting with one second past midnight on January 1, 2014.

      End Date:  Select the date after the last date for the donations report, again in yyyy-mm-dd format, e.g., 2014-02-01 for all donations up through and including January 31, 2014, but not including February 1, 2014.

      If no date terms are entered, all donations (subject to the tracking code restriction below) will be considered.

      Status

      Tracking Code:  Enter, if desired, a tracking code to report on. If no tracking code is entered, all donations (subject to the date range above) will be considered.

      Transaction Result:  Choose any of the possible transaction results listed below. Only one of these types can be displayed per report, so if you are interested in both successful and errored transactions, you'll need to run two reports - or use the Custom Report Builder.

      • Successful Transactions
      • Testing Transactions
      • Errored Transactions

      Group By

      The "Group By" section aggregates donations according to date and/or tracking code criteria.

      If you want a report listing all individual donations - Do not use "Group By"

      If you want a trend report with sums and/or counts - You must use "Group By"

      The available choices are:

      • Day
      • Month
      • Year
      • Tracking Code
      • Disbursement Status
      • Transaction Type

      ... and you can choose up to three of these for grouping, in a defined sequence. You need not have selected the Group By term as one of your reporting fields, but if you did not select it, it will not display in the report.

      For most basic reports, you'll probably only choose a single term. However, the Group By fields enable you to sort data into several buckets.

      Example Report: Which Gift Codes Raised the Most Last Year?

      To generate this report - assuming that you've used Tracking Codes for gift coding - you might build an Advanced Report thus:

      1. Select the fields Sum, Count and Tracking Code
      2. Enter the date range yyyy-01-01 for the start date, yyyy-01-01 for the end date, where yyyy is the four-digit year for last year, and yyyy is the four-digit year for this year.
      3. Select Tracking Code from the first Group By menu.
      4. Click

      • Where do we find "Advanced Reporting"

      • Hi Dave,

        As mentioned in the first paragraph, this is a legacy feature that is no longer supported, and thus access is limited to those 'grandfathered' in.

      • I have question in regards to the nature of the Start Date and End Date that is used for the Advanced Donations Report. Are the dates entered for searching in the report the "Transaction Date" or the date that the donation was entered on Salsa? For credit card donations this is the same date, but donations checks for our organization often have a later "Entered Date" because they are sent by postal mail. After typing this comment, I realize that the Custom Report feature would allow the user to distinguish a search between "Transaction Date" and "Entered Date". However there may be Salsa users that still use the Advanced Donations Report tool that this information would be helpful. Thank you!

      • Where can I find more information on reporting supporters most likely to "take action" i.e. share actions, email blasts, sign petitions?  I'd also like to get a count per specific supporter for this activity? Is that possible?

      • How do you then export the report?

        Sorry for the late reply! After running any report, you should see a link called _Export _in the bottom right of the results screen. ( screenshot here) You should be able to access all export functions from that link. The link is a little hard to see--we'll work on making that more visible at some point!

        The list of donation error codes is specific to your merchant gateway - check their documentation for a full list. In Salsa, whatever value we get back from your merchant gateway is stored in the RESPMSG field on the donation table.
