A pledge in Salsa is a (non-binding) promise from a supporter to give you money, generally with an attached date in the future. It is, for all intents and purposes, an invoiced donation from a supporter that needs to be collected at a later date. (Example: "I'm happy to donate, but I have to wait for my next paycheck/tax refund/large inheritance payout etc.") Some organizations find that using pledges allows them to reach a larger pool of possible donors even if collecting pledges can sometimes be challenging. Salsa's pledge package will take the guesswork out of the record keeping for you.
You can enter pledges in two ways: 1) supporters can make their own pledges through a Pledge page that you create and link to; 2) you can enter a pledge in the Salsa HQ yourself. This guide will cover both methods.
Getting the Pledges package
You may not have the Pledges package installed on your Salsa account. If you're not already set up with the Pledges package in your Salsa account (we'll tell you where to look for it in the next step of this guide), please contact your account manager or send an email to email@example.com and they will connect you with your account manager. Once your account manager has approved, a Salsa Support specialist can install the Pledges package for you.
Go to the Donations package. You should then see Pledges appear in the list of donations packages, either at the bottom of the list or, in the older interface, in the top right. Note: the exact placement of the link may depend on what other packages you have installed. See below:
If you're not seeing the Pledges package link, you may not have it installed. Contact your account manager for more information.
To start a new pledge page, go to the Pledges package and then select New Pledge page to create a new page. You will see that that the pledges page workflow is similar to the regular donation page workflow, but with fewer options:
There are four tabs in the pledge page workflow: Content, User Info, Follow Up, and Options.
Content: The Content tab has four sections: Reference Name, Header, Footer, and Description. The Reference Name and Description are not displayed publicly--they can only be viewed by you internally, so you should assign a name and description that match your organization's standard procedures. The Header and Footer are public-facing text areas that allow you to customize your message for your supporters. They both use Salsa’s WYSIWYG editor, which you will recognize from nearly every other Salsa tool. Add any text, links, and/or images as needed, then click Save and continue to continue to the next step.
User Info: The User Info tab is where you will define which fields of information you wish to collect from supporters making a pledge. (This screen is identical to the one for Donation pages and Sign up Pages.)The only required field is Email Address, but you can require as much information as you want (including custom fields). Please keep in mind that you will have to contact your pledging supporters at a later date to secure their pledges, so be sure to require enough information so that you feel confident about contacting these supporters at a later date Also, in this section, you can select the different groups that pledging supporters will be added to.
Follow up and Options
The Follow Up tab has four auto-response options. (See the guides on Autoresponses/Email Triggers and Streaming Emails for information on automated email followup across all Salsa packages.) Pledges have a couple of unique features related to autoresponses. New Pledge Auto-Response sends when a supporter submits a new pledge from a pledge page as you might expect. The Pledge Reminder Auto-Response goes out on a monthly basis to a supporter to remind them about their pledge. As they make payments, the counter is reset (for example, if a supporter gives a $10 donation on a $100 pledge, the time on the auto-response is reset and she will receive an email one month from the date of that $10 donation). You can change the interval of the reminders on the individual Pledge listing page.
An Overdue Pledge Auto-Response sends out when the entire pledge is overdue. Using it is a little tricky and, if set incorrectly, might not work as expected. For instance, if you manually set the pledge on the back end manually to
overdue, the auto-response does NOT send. It sends if:
- the status is not already set to
- the total amount of donations associated with the pledge is less than the pledged amount.
- the date of the chronologically latest installment is less than now.
Overdue triggers are intended to only send once. Once the status is set to
overdue, it should not send again.
Pledge Collection and Incoming Donation Auto-responses
Finally, the Incoming Donation Auto-Response is a unique feature that can tag incoming donations as pledge payments. It is important to note that there are no specific pledge collection pages in Salsa (that is, you can make the initial pledge through a page, but there's no specific page that only accepts payments on the pledges)--but any donation page can double as a pledge collection page by appending
&pledge_page_KEY=XXX (where XXX is the key of the original pledge page) to end of your donation page URL. And, if you have this auto-response set and URL is correct, a donation will be automatically associated with the supporter's pledge taken from that pledge page, and the incoming donation auto-response will be sent.
One possible use for this is sending a donation/pledge collection page URL like the one above in a reminder auto-response, so when your pledging supporter clicks on it, it automatically associates the donation/installment with the appropriate pledge. Contact Salsa Support for additional assistance setting this up.
Finally, The Options tab is similar to the same tab in other Salsa workflows. This tab allows you to set, edit or create a Thank You page or to provide a redirect link. Please note that incomplete URLs or URLS that do not begin with
http:// or will result in errors.
To manually add a pledge, go to the Pledges package and choose Add a pledge. This will bring you to the New Pledge screen:
Here you can manually enter a pledge in a similar process to manually entering donations. Info on each of the fields follows:
Supporter - If you click on the text box, you'll see a search page that will allow you to specify the supporter whom you want to create a pledge for. Once you have located your supporter, click select in the lower left of the search results.
Pledge Page - If you click on the text box, you'll see a search page that will allow you to specify the pledge page that you want the pledge to be associated with. Once you have located your pledge page, click select in the lower left of the search results. Setting this is important if you would like auto-response emails to be sent out to pledging supporters. Please note that the new pledge auto-response that is set on your pledge page will not be sent out. The other auto-responses will be sent out.
Pledge Amount - This is the text box where you will enter your pledge amount. Please do not include the $ symbol, just type a number.
Pledge Date - This indicates the date the pledge was created. If you click this text box, a calendar will open where you can select the date.
Due Date - This indicates the date upon which the pledge is due. If you click this text box, calendar will open where you can select the date.
Status - This dropdown allows you set the status of the pledge. There are four statuses: Active, Fulfilled, Overdue, and Cancelled.
Reminder Interval - This dropdown allows you to set the reminder auto-response interval. There are six options: Weekly, Bi-Weekly, Monthly, Quarterly, Semi-Annually, and Annually. Monthly is the default interval.
Notes - This allows you to add any special notes about the particular pledge that you are adding.
Link A Donation/Convert - This allows you to associate a specific donation that a supporter has made in with the pledge you are creating.
Edit Installments - This allows you to split the pledge into smaller amounts with different due dates.
Click Saveat the bottom of the page to save this pledge.
Click on the List pledges link to list recent pledges:
In this view, click the Details link next to any of the pledges to bring up the Edit Pledge screen. The options and fields on this screen are identical to the Add a pledge screen described above.
