Receipts in Salsa CRM were primarily developed to help Canadian organizations with receipting requirements but may be used by all clients. The Receipt field on the Donation screen applies a Receipt-type form letter to the gift and assigns a unique Receipt Number for the donation.
There are two Receipt types: one-time receipts and summary receipts. One-time receipts represent non-recurring donations. Summary receipts represent all donations for the calendar year and contain donation data for every receipt.
This receipt can be printed or emailed to the donor directly from the donation screen. Receipts can be set as being either Tax Deductible or Non-Tax Deductible.
NOTE: If you already use numbered receipts within your organization, and are a new customer with Salsa CRM, you will need to alert your Conversion Specialist so that they know to create the numbering based on the previously used numerical values.
If you do not set up the Receipts Configuration panel, the first time you try to print a receipt, you will get an error message. If you wish to start using the numerical receipt system, simply follow the instructions below.
- From the main Salsa CRM menu, select Manage > Configuration > Form Letters & Receipts.
- Select the Receipts tab.
- The Receipts screen gives you the ability to set Receipt numerical ranges for Tax Deductible Receipts (Official Charitable Receipts in Canada) or Non-Tax Deductible Receipts (Standard Business Receipts in Canada).
In the Tax Deductible Receipts section of the screen, enter the numerical range you wish to have appeared next to the Receipt field on the donation screen. This numerical range will be used on Receipt Type Form Letters, which have been set as Tax Deductible Receipts on the General Form Letter Configuration screen. Follow the same procedure for the Non-Tax Deductible Receipts.
NOTE: If your organization does not use Non-Tax Deductible Receipts, enter a small numeric range that is outside of the Tax Deductible range because the receipt numbers cannot overlap. If they do, Salsa CRM will respond with an error message. - The Duplicate Receipt Wording should be populated with wording that you would like to see appear at the top of a receipt that has already been printed or emailed. This wording will automatically be inserted onto the receipt if the donation Receipt Date is not blank. This wording will be inserted in the upper-left corner of your document. Examples might be "Duplicate" or "Copy".
NOTE: If you use this feature, be sure to design your documents with the placement of this working in mind. For example, if you have your logo in the upper-left corner of the page, you should insert one blank line above the logo to accommodate this wording. - Click Save.
After configuring this screen, when you set a new Form Letter Type as Receipt, you will have the option to specify if this receipt is to be Tax Deductible or Non-Tax Deductible. The selection you make will prompt Salsa CRM as to which numerical range to use.
