Adding users to Salsa CRM provides unique logins to control access and keep track of data entry work. User management tools support system configuration, account customization, and data securities.
Understanding Salsa CRM User Management
Before adding and managing users in Salsa CRM, there are two prerequisite courses offered that provide the foundational knowledge needed to understand user management.
Beginning with Salsa CRM Constituent Management Training, you will learn the foundational components of creating and managing constituent records. In order to create a user, you must first create the user as a constituent, so this training is critical in the preliminary steps.
Access Salsa CRM Constituent Management Training here.
The follow-up training and next step is Salsa CRM Configuration, Users, and Roles Training. This training covers videos and tutorials that perform many functions of adding and managing users, including, but not limited to:
-
Configuring Salsa CRM.
-
Adding and managing Salsa CRM users.
-
Applying task and data permissions roles.

Configuring Role-based Permissions
Based on the needs of your organization, Salsa CRM defines access and security in fully customizable settings. The Access Control security system enables system administrators to define access rights for job functions and then assign individuals to these functions, or Roles. Once a role is assigned, task-related permissions and data-related permissions can be applied. This step is essential to creating processes for data and task management.

Adding Individual Constituent Records
In order to assign a user within Salsa CRM, a constituent record must first be created. User records are different than constituent records, but all records begin as constituent records. Constituent records house basic and advanced information pertaining to a constituent, as well as establishing access levels for the record.
Read this procedural guide to learn how to add individual constituent records.
Adding Salsa CRM Users
After the constituent record has been created, adding a user to Salsa CRM provides access to certain administrative tools. Through unique login credentials, a Salsa CRM user will be able to control their account, enter and track data, and operate functions within Salsa CRM.
Use this guide to add Salsa CRM users and provide permissions.
Removing Salsa CRM Users
Salsa CRM allows for the removal and restriction of users in the case that may become necessary. Be mindful that once a constituent record is removed, any historical data is permanently deleted. It is advised that a constituent record should not be fully removed from the CRM, rather only removing access to task-related and data-related permissions. A system administrator can also apply steps to lock a user/constituent account to immediately block access.

Accessing and Customizing My Account

-
Selecting preferred contact email address.
-
Updating contact information.
-
Managing password and login credentials.
-
Generating security questions and responses.
-
Enabling two-factor authentication.

Troubleshooting User Login Problems
If user login problems arise, Salsa CRM has established troubleshooting procedures to support the challenges a user or administrator may face when solving access issues.
Watch this tutorial on how to access Salsa CRM if locked out.
Some basic login problems can be resolved in the following documentation:
A special consideration to note is if a user encounters the “User is not found” message when attempting to access the Salsa CRM. If you see this error message, it is likely due to your record being merged by a system administrator within your organization and the record will need to be reestablished by Salsa support.
If you attempt these solutions and still find you’re unable to access Salsa CRM, contact the Salsa support team by email at support@salsalabs.com, or by phone at 866-935-8281.
Authorizing Two-factor Authentication
Authorizing two-factor authentication is an additional step a user can take to protect the security of data within Salsa CRM. The following documentation provides a sequential guide to establishing two-factor authentication and includes troubleshooting scenarios that address:
-
Enabling two-factor authentication.
-
Registering two-factor authentication.
-
Resetting two-factor authentication.
Use this guide to establish two-factor authentication in Salsa CRM.
Understanding Data Protections
When considering data access and permissions for constituents and users within the European Union (EU), it is best practice to be familiar with the General Data Protection Regulation (GDPR). This regulation protects data privacy and establishes information security laws for people in the EU, with consequences for breaking the conditions of the regulation.
