Variables allow you to insert dynamic text elements into your form letter templates. The variables you insert will be substituted with the appropriate text when the letter or email is formatted.
The ‘Smart’ variables are affected by any information you enter into the Salutation Override window on the main constituent record. Any information entered into the fields of the Salutation Override window will replace these fields when merging them into a letter.

Donation Fields

Variables in Mail Merge (Advanced Query Wizard)
When processing letters using the Mail Merge function in the Advanced Query Wizard, you can insert variables in your letter to match your query’s output fields.
For example, if your query includes the Total Gift Amounts field in your outputs, you can include {{Total Gift Amounts}} as a variable in your letter.
Some things to remember when using queries to complete your mail merge:
- Your variable must match the output field exactly. For example, if you are outputting the Donation Amount field in a Donation type query, your variable would be {{Donation Amount}}. However, in a Constituent type query, this field is listed as ‘Amount’, so our variable would be {{Amount}}
- If a constituent doesn’t have a value for the variable you include, you’ll receive a Substitution Error when printing your letters. You will want to edit the letter for these constituents to add a value manually.
