Once you have our thank you letters configured, we can add these to a donation. You can print letters one by one from the donation record. However, printing donation letters in bulk from a batch is more common. In this article, you will learn to print letters from a batch.
To add a thank you letter to a donation record...
- Create a new donation record or open an existing record. This article assumes starting with a new donation.
- Enter all required donation fields, such as the batch name, donor name, donation amount, payment details, fund, etc.
- On the right, look for the Letter field, and open the drop-down menu.
- Choose which of your form letters or emails you want to apply to the donation. If you are planning on printing those letters or sending those emails from the CRM, do not put a date in the sent date field. The CRM will only pull back thank you letters or emails that have not been sent.
- Click Save.
- A magnifying glass icon appears to the right of the letter drop-down. Click that icon to preview the letter or email, and make any changes you want to that specific instance. If you click the magnifying glass and you do not see the letter the first few things to check are:

- Disable any plugins you have running on your browser (here are some steps for how to find those extensions in multiple browsers). This INCLUDES Adobe.
- Clear your browser's cache and cookies (here are some steps for that, as well). Clearing your cookies can log you out of any websites you are logged into; however, it will not clear your saved passwords.
- If you are using Chrome, make sure you have your PDF settings to open in the browser, not to automatically download:
- On your computer, open your Chrome browser.
- At the top right, click the 3 vertical dots
- Click “Settings.”
- At the bottom, click Advanced.
- Under "Privacy and security," click Site settings.
- Near the bottom, click PDF documents.
- Turn off Download PDF files instead of automatically opening them in Chrome.
- If you’re adding a form email to your donation, you’ll see a slightly different screen when you click the magnifying glass. To edit a form email, click either Edit Content to edit the email body or Edit Attachment to edit the letter itself.
