This section outlines the features included in Salsa Engage and Salsa CRM to support GDPR as it applies to collecting, recalling, and withdrawing active opt-in consent from supporters for the purpose of direct marketing. Please note that compliance with GDPR and similar legislation is extremely broad in scope. Salsa recommends consulting legal counsel for any and all questions pertaining to GDPR.
Note that if you have Salsa CRM, all GDPR changes must be made in Salsa Enage. For information about how you can use Active Consent in Salsa CRM, click here.
Step 1: Enable Active Consent Features
Active Consent Features are available to all Salsa Engage and Salsa Engage + CRM customers. Please send an email to support@salsalabs.com and request the feature set be enabled.
Once you have received confirmation that Active Consent has been made accessible to your organization, you can enable it in Salsa Engage or Salsa Engage + CRM by following these steps:

Navigate to Settings in Salsa Engage.

Click the Switch to... pull-down menu, and select Active Consent.

Locate the Enable Active Consent Features toggle, and click it to turn on the feature set.

The Active Consent Features outlined below will now be available in your Engage forms.
Step 2: Set Active Consent Default Text
To set the default verbiage that appears in the header above the Active Consent opt-in checkboxes, enter your text into the provided areas. The verbiage that you add will be the default when you add an Active Consent form field to your Salsa Engage activity forms. You can edit the verbiage as needed. This is also the verbiage that will appear on your organization's Subscription Management form.
The Active Consent Header is a good place to include verbiage specifying the details of the data processing activities to which a supporter will be opting-in. The Active Consent Footer can be used to explain your organization's data security practices and enumerate or link to your privacy policy.
To change the label text that is displayed to supporters, enter new label text. The text saved here will be the default on all existing Engage activity forms. You can add your own channels or purposes beyond the four marketing channels included by default (email, phone, postal mail, and social media) by clicking Create a Custom Consent Field. If you need to change label text specific to a particular form, create a new custom channel or purpose, save the label text for that channel or purpose, and configure it in the Visual Editor in the specific form.
Step 3: Capture Consent
Salsa Engage includes a dedicated form field for collecting active opt-in consent for standard direct marketing channels, as well as your custom Active Consent channels or purposes. To add this Form Field to Salsa Engage activity form...

In the Visual Editor, drag a new Form Field element into your Form.
The Select Field window opens. -
Select Active Consent.
The Edit Field: Active Consent window opens. -
Ensure that the Active Consent Header and Active Consent Footer contain the verbiage that you need and that you've enabled the checkboxes you want to use for the Activity form. Changes that you make here will apply to only the given form; defaults will remain unchanged.

Ensure that the Active Consent Header and Active Consent Footer language is accurate and applicable to the form. Any edits made here will be displayed on only the given activity form.

Choose the Channels and Purposes that you would like to be displayed on the form as checkboxes. If you need to edit the labels, you must do so in the Active Consent section of the Settings menu.
- Click Save Content. The Active Consent content that you defined will be included in your Form.
Step 4: View Current Consent Status
To view a supporter’s current consent status in Salsa Engage...

Navigate to the supporter’s record.

Click the Active Consent tab. On this screen, you will see the channel or purpose, date and time that the consent was given or withdrawn, and the specific Salsa Engage form responsible for the change. Click the Source Details link to see the header text, checkbox labels, and footer text, as they appeared at the time of the form submission. (Note that if you changed the verbiage after someone selected Active Consent, the verbiage will be different from the text as it is currently.)

Navigate to the Supporter Query tool.

Select Active Consent as one of your query criteria.

Use this query to create a dynamic group or to export the results.
Use Consent Status for Emails
Salsa Engage will automatically remove supporters whose Active Consent status for the Email channel is “unknown” or “opt-out” from an email blast audience.

Amend Consent
If a supporter contacts your organization to amend their consent status, you may...

Direct them to your organization’s Manage Subscription page. The link is available in your organization’s Salsa Engage account under Settings > Subscription Management.

Navigate to your organization’s Subscription Management page.

Select the items that should be amended.

Enter the supporter’s email address, and then click Update Subscription. Remember to make any notes that you may need later, and keep them in a safe place.
Supporter Access, Rectification, Portability, or Erasure Requests
To comply with any of the following requests, send all requests via email to support@salsalabs.com.
- Access - "I want to see all of the personally identifiable information that [org name] has on me in a human-readable format."
- Rectification - "This piece of information about me is incorrect. I need you to change it for me."
- Portability - "I want the data that you have collected from me provided to me or another processor in a machine-readable format."
- Erasure - "I withdraw consent to data processing, and I want all of my PII data to be deleted from your system."
