To create a new dynamic or static supporter group...
- Click the Supporters menu on the left.
- Click the Groups tab at the top of the screen.
- Click the +Add a Group button in the upper right hand corner of the Groups tab.
- Under the Set Up Your Group tab, there are two fields. Give the group an internal Reference Name. The Name field is required, but the Description isn't. The name will help you search for and select groups when using them in your account.
- Next you will create either a dynamic group using a Supporter Query or a static group or Mailing List.
Create a Dynamic Group by Query
You will not be able to manually add or remove supporters from dynamic groups that are automatically populated or filled in via SMARTtechnology. However, you may add or exclude individual supporters from a dynamic group filled by supporter query. Determine who will automatically be placed in this group based on the rule sets you create:
- Ensure that Dynamic Group is selected.
- Click the Next: Groups Rules button to create your first rule set.
- You're now at the Select Supporters section. This is where you will use a process similar to building a Supporter Query to choose supporters to add to your group. Boolean operators will assist with adding multiple rules to automate which supporters are chosen. If you are unfamiliar with Boolean operators, please see this tutorial on Boolean operators. You'll first see where you'll create your group's rules. These are the rules that will determine who is included in your group. You must create at least one rule.
- Click the Please select one drop down control, and select the value that you want to use for the rule. Options will appear for the option that you selected. Complete the options for the rule that you selected. If necessary, change the And control to Or.
- To add additional rules, click New Rule. Create a new rule and repeat the process as many times as necessary to get the results that you want.
- You can also manually assign supporters who may not meet your automatic conditions but should still be in the group though this should be used sparingly. Just type some search parameters, such as a first name or email address, to find the supporter and click the + button next to them. Once added you will see the list of supporters manually added below the search box.
- In addition to manually adding supporters, you can also manually exclude them. This means even if they match the automatic conditions you set up, they won’t be added to the group.
Note: Whenever supporters are added to segments, either automatically or by you, you may not see the addition instantaneously. There is a nightly batch process that runs on the servers which will place supporter records in their appropriate groups. - Once you're done adding rules and including and excluding users, click Next: View Group Supporters». The Your Group tab will open. It features a list of all of the individuals in the group that you created.
- If you aren't seeing the results that you expected, click Back: Group Rules, and rework your Boolean rules until you get the results that you want.
- When you have the results that you want, click Save Group.
Create a Static Group or Mailing List
Manually add supporters to a static group you create. Mailing List groups are another type of static group where supporters opt in or opt out of a mailing list group themselves.
- Ensure that Static Group is selected.
- Add a Parameter Name—Add the parameter name when creating your static group or mailing list by choosing a Parameter Name.
Supporters can be added to Static Groups and Mailing Lists by passing a URL parameter into Engage. For example, a supporter who clicks a link formatted like this—https://yourorg.salsalabs.org/donate/index.html?groups=grp_donors—will be automatically added to a group in Engage with the parameter named "grp_donors". These links can be shared anywhere on the web or configured in the Visual Editor when sending an email from Engage. - Mailing List Options—Static groups designated as Mailing Lists can be presented on Activity forms and Subscription Management pages for supporters to opt themselves in and out of.
- Slide the switch to Yes if the group is a Mailing List.
- The Public Display Name is the name that the supporter sees on the activity form, along with an optional Public Description.
- Check the Pre-select this group, by default checkbox if you wish to have that Mailing List preselected on Activity forms.
- Slide the switch to Yes if the group is a Mailing List.
- Click the Next: View Group Supporters » button to add supporters.
- Click the +Add Supporters button to add supporters individually. Alternately, you could import records into the Static group.
- Click the magnifying glass button to find individuals by name.
- Click the Select button associated with their name. Do this for every supporter you want to add manually.
- Click Save» to retain these changes.
